ARTICLE 1
DEFINITIONS
Definitions will be as per SCR constitution,
except for the following:-
UNIVERSITY OF NATAL: - Where
bold & underlined, the meaning shall mean Durban campus.
SRC: - UNIVERSITY OF NATAL DBN.
ARTICLE 2
NAME
2.1 The name of the organization shall be
Botswana Students Society, hereinafter referred as the BOSS.
ARTICLE 3
CODE OF CONDUCT
3.1 The objectives of this code of conduct is not to restrict good
times and lively discussions, but to promote harmony and unity amongst Botswana students. Students should feel free
to associate and express themselves openly at all times.
These conduct must be followed by Botswana students, for the benefit of
the Botswana students:
3.1.1 No physical or verbal abuse shall be tolerated in the
organization.
3.1.2 All students must respect others properties, no stealing is
tolerated.
3.1.3 Everyone must respect others opinions and not to override them.
3.1.4 Students should cultivate an attitude of tolerance and open mind
ness.
3. l .5 It is the duty of every Boss member to make other students feel
at home.
3.1.6 All members shall participate in all national celebrations.
ARTICLE 4
OBJECTIVES/AIMS
4.1 To attend and stand for Botswana
students problems of all kinds (social, financial and academic)
4.2 To enhance and implant discipline and
leadership skills among Botswana students.
4.3 To obtain a higher degree of
communication between sponsors and students and to represent members
fully in dealing with sponsors and other
official matters of concern.
4.4 To enhance and intensify coops-ration
between fellow members and to promote Botswana image in South Africa
4.5 To promote relationship with other
societies on the university and community at large.
4.6 To promote cultural skills among all
students.
ARTICLE 5
COMPOSITION
OF EXECUTIVE COMMITTEE
5.1 President
5.2 Vice president
5.3 Secretary
5.4 Vice secretary
5.5 Treasurer
5.6 Personal Representative Officer
5.7 Entertainment Officer
5.9 The term of office shall be one year
ARTICLE 6
SPECIFIC DUTIES OF OFFICE BEARERS
THE PRESIDENT
6.1.1 Shall coordinates the executive
committee and ensure the smooth running of BOSS.
6.1.2 Shall officially represent the BOSS in
dealing with the SRC, the international student association and the university administration
6.1.3 Shall communicate back to the members
all discussions with the above.
6.1.4 Shall chair all meetings of the
society.
6.1.5 Shall
organize conflict resolution meeting within a week of receipt of the
complaint about a members breach of the code of conduct.
THE VICE PRESIDENT
6.2.1 Shall deputise the president.
ARTICLE 7
THE SECRETARY
7.1.1 Shall takes minutes at all BOSS
meetings and coordinates general administration.
THE VICE SECRETARY
7.2.1 Shall handle all the correspondence
and deputise the secretary.
THE TREASURER .
7.3.1 Shall handle all financial records of
fund raising activities
7.3.2 Shall be responsible for all monies
paid, in whatever source, to the BOSS.
7.3.3 Shall promote punctual and full
collection of revenue.
7.3.4 Shall make annual financial attempts
and budget for submission to the committee and the Annual General Meeting.
7.3.5 Shall present the annual budget of the
BOSS to the SRC and BOSA / ISAI.
7.3.6 Shall collect membership fees and
other dues from members.
7.3.7 The
treasurer, president and secretary shall be the Co-signatories on the
financial transactions of the society.
PERSONAL
REPRESENTATIVE OFFICER
7.4.1 Shall be a spokesperson of the BOSS
and make links with other clubs and societies.
7.4.2 Shall perform all executive duties
which from time to time will be assigned to him/her by the president.
ENTERTAINMENT OFFICER
7.5.1 Shall organize all entertainment
related activities i.e. football, parties, sea cruising etc.
ARTICLE 8
RULES PERTAINING TO
MEMBERSHIP
8.1 Membership shall be open to all students
at University of Natal, Durban. (Membership shall be limited to students who are registered to the University of
Natal. As SRC constitution nobody will be forced to become a member. Students will only remain members of the
BOSS While registered as students at the University of Natal.)
8.2 No person shall be considered a member
until he has paid an annual joining fee as determined annually by the
general membership of BOSS.
8.3 Each member, by virtue of his/her
membership shall be deemed to be fully conversant with all the provisions
of the constitution and shall further be deemed to
have agreed to abide and absolutely thereby.
ARTICLE 9
MEETINGS
9.1 The executive committee shall meet
monthly and the number of General meeting shall be limited to a minimum of four per annum. A quorum for executive
committee meetings shall be 50% of members and 2/3 of members for the
General meetings.
9.2 The Annual General Meeting shall be held
in the second semester and shall consist of 2/3 of the members.
ARTICLE 10
FINANCE
10.1 Finance will be administered to
accomplish the aims and objectives of the BOSS as listed above. Fund
raising and donations will supplement the SRC budget.
10.2 The BOSS shall appoint two of its
members at Annual General Meeting and to be associated with the treasurer
to audit books and financial records.
10.3 The internal auditors shall have access
to all books, records and documents of the society at all times and shall
have the power to make reports of their findings
to the executive committee and General meeting.
10.4 The accounts of the society shall be
audited at least once a year as soon as possible after the financial year,
but not later than two months after the financial
year, by one or more auditors appointed by the Annual General Meeting.
ARTICLE 11
ELECTIONS
11.1 Voting at the Annual General Meeting
shall be, in the case of election of office bearers of the committee, by
ballot or show of hands of those present.
11.2 Members of the committee shall be
elected annually at Annual General Meeting and Shall hold office for a
period of one (1) year.
11.3 The General Meeting shall elect people
to constitute the committee with assigning positions to them at the time
of elections.
11.4 The committee member term of office
shall be deemed to expire at the conclusion of the next Annual General
Meeting.
11.5 There shall be a proper handing over of
office at a meeting called within seven ( 7) days after Annual General
Meeting.
ARTICLE 12
AMENDMENT OF THE
CONSTITUTION
12.1 Any bona fide member may summit an
amendment to the president about the constitution.
12.2 The president and the submitting member
shall present the proposed amendments to the general membership for
discussion.
12.3 A proposed amendment shall become part
of the constitution if approved by 50% of the members present and voting.
12.4 The SRC shall be informed about the
amendment of the constitution to approve it.
